Ed-Cred Data Collection and Privacy Policy

1. Purpose

Ed-Cred collects limited information to verify, moderate, and publish reviews in a manner that protects user anonymity and ensures the accuracy of verified claims. This policy explains what information we collect, why we collect it, how it is used, and how it is protected.

2. Information We Collect

a. Review Data

When you submit a review, we collect your selected role (e.g., parent, teacher, staff, leadership, district leadership), review content, context information (school name, teacher or leader name, dates of interaction, district name, and optional school website), submission date, and moderation status. No personal identifiers such as your full name, email, or IP address are published with your review.

b. Verification Data (Optional)

If you choose to verify a claim or upload supporting documentation, we may collect uploaded files (PDF, DOCX, JPG, PNG) that substantiate claims. For leadership reviews only, proof of role (school-email verification or document showing job title) is required.

c. Minimal Technical Data

We record non-identifiable technical information (browser type, timestamp, general location) strictly for site security and analytics. This data cannot personally identify any user.

3. Use of Collected Information

We use collected data only to verify authenticity of reviews or leadership identity, moderate content for compliance with our Terms of Use and Submission Guidelines, display aggregated results without personal identifiers, and communicate internally with verified leadership reviewers for confirmation purposes. Ed-Cred does not use review data for marketing, resale, or third-party profiling.

4. Storage and Retention

Uploaded documents are stored temporarily on a secure server during verification. Once verified, files are transferred to a secure external hard drive not connected to the public internet. Leadership verification documents are permanently deleted immediately after verification. Anonymous review data remain in our database for transparency and record integrity.

5. Handling of Student Names and Confidential Material

If an uploaded document contains a child’s name, Ed-Cred is permitted to view that name solely for verification purposes. Ed-Cred will never publish student names or private details. Users must redact or blur all other students’ names before uploading. (See “Permission to View Student Name in Uploaded Documents” for details.)

6. Data Protection and Security

Ed-Cred employs industry-standard safeguards, including encrypted file transfers (HTTPS/SSL), restricted access to verification personnel only, secure offline storage of verified documentation, and permanent deletion of verification files after processing. Ed-Cred complies with the California Consumer Privacy Act (CCPA) and, where applicable, the General Data Protection Regulation (GDPR).

7. User Rights

Users may request a copy of information submitted for verification, request deletion of verification records once the review is published, or file a dispute if data is processed incorrectly. All requests should be sent to inquiry@ed-cred.com.

8. Data Disclosure

Ed-Cred will never sell or share user or verification data except when required by law or valid court order, or when necessary to complete a verification or dispute review.

9. Policy Updates

This policy may be updated periodically to remain compliant with law and internal privacy standards. All updates will appear on the platform with a new effective date. Continued use of the platform signifies acceptance of the updated terms.
